Dental Case Tracking Checklist

Multi-step dental cases can lose visibility when the information needed to manage them is spread across the PMS, spreadsheets, inboxes, conversations, and staff memory. This checklist gives dental practices a simple, repeatable way to make sure every active case has the operational information needed to keep it moving. How to use this checklist

Use one checklist record for each active multi-step case. Update the information whenever responsibility, status, next action, or an external dependency changes. Review active cases at a consistent cadence that fits your practice, paying particular attention to handoffs and upcoming patient appointments. Close the case when the operational workflow is actually complete.

The dental case tracking checklist

Case identification

Use only the identifying information needed for workflow tracking. The full clinical record remains in the PMS or clinical chart.

  • Internal patient or case reference
  • Case type (crown, bridge, implant, denture, referral, other)
  • Case start or preparation date

Current workflow

  • Current status or stage
  • Current case owner
  • Specific next action
  • Next action due date

Timing and patient appointment

  • Expected lab return or referral completion date, when applicable
  • Patient's next relevant appointment
  • Whether the case is expected to be ready for that appointment
  • Whether a current delay puts that appointment at risk

External dependencies

  • Outside lab, specialist, referral provider, or other dependency
  • Date sent or dependency started
  • Expected return or completion date
  • Whether the dependency is currently blocking progress
  • Whether the expected return or completion is overdue

Exceptions

  • Whether the case requires a remake or revision
  • Whether an expected item or required input is missing
  • Whether the case has stalled or has had no expected movement
  • Whether something outside the practice is blocking progress

Completion

  • Date completed, delivered, or seated, as applicable
  • Final case status
  • Whether any operational follow-up action remains

Checklist by case type

Crown and bridge

Pay particular attention to the lab handoff, expected return, whether the case will be ready for the patient appointment, and any remake or revision.

Implants

Long-running cases with multiple phases need clear ownership, next action, and patient appointment awareness so they don't disappear between visits.

Cases at outside labs

Track the date sent, the outside lab, expected return, overdue status, and whether the return will be ready for the patient appointment.

Referrals

Record the outside provider, the expected next step, who is responsible for following up, and the return or completion dependency.

Remakes and revisions

Keep the original case visible, record that a remake or revision occurred, and set a new expected return, owner, and next action.

What this checklist does not replace

This is an operational workflow checklist. It does not replace the patient's clinical record, required clinical documentation, the PMS, professional judgment, or your practice's own policies and procedures. A workflow tracker should contain the operational information needed to understand case progress without unnecessarily duplicating clinical information.

Putting the checklist into practice

This methodology can be implemented with different tools. A well-maintained spreadsheet can work. A practice might also use its PMS, a shared workflow, or dedicated case tracking software.
